Administrative Assistant I

This is a highly responsible position providing administrative and technical support to the Environmental Health Division consisting of 19 programs and 44 staff members. The Administrative Assistant I primary functions include providing office administrative support, purchasing/supply inventory, records custodian, facility maintenance and operational assurance. This position requires considerable independence and responsibility. Applicant must demonstrate a detail-oriented focus and the ability to work in a high pace multitasking environment.

Responsibilities Include:

  • Orders Office supplies and reconciles transactions; Ensures purchasing guidelines are followed and deadlines are met for approvals and reconciliations. Maintains inventory control-tracking system of equipment and consumable supplies; Assures office supply levels are maintained

  • Responsible for managing active record inventory; Knowledge of each record’s retention schedule; Prepares inactive records for storage; Monitors stored inventory; Processes record retrieval; Purges obsolete electronic files on an annual basis.

  • Submits work orders for maintenance and repair, to include facilities, computer, telephone, and housekeeping issues.

  • Responsible for data entry and printing of animal bite report forms

  • Responsible for assuring reconciliation of monies and preparation of deposits are complete at the end of day

  • Acts as the Customer Services Advocate Coordinator

  • Prepares meeting minutes and agendas as assigned

Performs back-up duties for front desk clerical staff. Front desk clerical duties may include a combination of client registration, cashier, answering telephones, data entry, computer processing, and office machine operation

  • Prepares updates to Environmental Health Intranet site within area of responsibility.

  • Assumes duties assigned to the Fiscal Assistant II, during the absence of the incumbent

  • Assumes duties assigned to the Office Operation Manager I, during the absence of the incumbent

Minimum Qualifications:

  • 5 years of customer service experience in a fast-paced environment

  • 3 years of experience as an administrative assistant or in a similar role providing office administrative support (e.g., purchasing, or data entry, preparing agendas/meeting minutes)

  • 2 years of record management experience (e.g., filing, retention, archiving)

  • Proficient in "All" of the following computer programs: MS Office (Outlook, Word, Excel), Internet Explorer, and any type of database application
