Job Description

The IPC Marketing Coordinator is directly responsible for completing the process of booking eligible tours to HGV resorts, which will produce potential revenue. This person responds to guest requests in a timely manner and represents HGV in a professional manner.

Job Requirements

What will I be doing?

As a IPC Marketing Coordinator you would be responsible for executing your position's responsibilities in alignment with our Spirit of Service culture and driving company success through performing the following tasks to the highest standards:

  • Provides information & incentives for guests that haven't toured within one year or owners that haven't toured within 6 months.

  • Pro-actively pursues all eligible guests who are not owners of HGV to preview HGV through direct booking of tours.

  • Ensures guests meet minimum eligibility for gifts as provided or promotes a courtesy tour.

  • Executes on batch messages to guest rooms at designated location at the start of each work shifts.

  • Collects tour deposits and completes required paperwork accurately and completely for each tour with Reservations.

  • Provides Guest information to Reservations for wake up calls and tour reservations confirmations.

  • Arranges for the transportation of guests to Preview Center as necessary.

  • Meets every guest with a smile. Concludes conversation with a very sincere smile and thanks the guest(s) for their time.

  • Provides location and customer related guest service to hotel guests and visitors, including directing guests to responsible hotel services for specific hotel information.

  • Distributes only HGV authorized information, collateral and materials. Maintains location-operating standards.

  • Notifies manager of any shortages in collateral in a timely manner.

  • Reviews production reports and notifies manager in writing of any challenges within the month the tour shows or package is sold.

  • Arrives and leaves location at scheduled times.

  • Contacts Reservations upon arrival at each shift.

  • Follows gifting list procedures to ensure costs are met monthly.

  • Must follow gifting procedures for any guest staying at HGV.

  • Gives only one welcome gift per family.

  • Contacts management with any guest or site issues.

  • Calls Tour Desk/Manifest throughout the day to check availability as to not overbook a wave.

  • Ensures the transportation logs and referral sheets are copied, put in logbook and faxed for appropriate compensation for these guests that are truly referred.

  • Ensures that guests purchase only one mini-vacation every three years.

  • Ensures time sheets and fix-it forms are turned in accurately a weekly basis according to the payroll cut off dates deadline.

  • Assists management with training of new hires on location as needed.

  • Complies with all reasonable requests put forth by management.
