Job Details

Provide comprehensive support to Holland America Group (HA Group)’s Seattle Legal Department with a positive, customer service attitude and pursuant to the Essential Functions stated below, as well as support to the General Counsel, Holland America Group.


  • Legal Holds / CT Corp – Manage preservation of records for matters as instructed by legal counsel, including drafting legal counsel-approved content for legal hold (and release) notices, as well as tracking and sending out reminders to recipients regarding official response, answering related questions from departments, compiling documents and orchestrating production logistics as instructed by legal counsel.

  • Liquor License Liaison – Manage Legal Dept processing to ensure timely liquor license applications/renewals, and liaise between outside legal counsel and the involved stakeholder departments and Fleet (the actual ships) to avoid lapses in timely renewal/maintenance of liquor licenses onboard, including timely delivery of updated licenses to the actual ships prior to expiration of their current licenses.

  • Subpoena/Records Requests - Manage entire process, or as otherwise instructed by legal counsel, including tracking, follow-up, gathering of relevant documents, approving production (with input from legal counsel as needed), drafting responsive documents/letters, and ensuring that final production is accomplished in a timely manner.

  • Trademark Calendaring & Notices – Manage Legal Dept processing and track key dates, including promptly sending out notices and reminders, as well as fulfilling other administrative tasks as specifically instructed by legal counsel.

  • Other Time-Sensitive Assignments - as assigned by Legal Department. In some cases, deadlines or priorities may need to be adjusted as determined by legal counsel. These assignments might involve, for example, online research and internal due diligence to assist Legal Department in advising corporate management and business stakeholder teams.

  • Legal Dept’s Calendar - Establish, update and maintain Legal Dept’s primary electronic calendar to share between Team members and between Seattle and Santa Clarita offices, including internal and external contacts.

  • Meetings & Events Scheduling - Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities/rooms, issue agendas and meeting minutes.

  • Invoicing – Coordinate monthly billings from outside counsel and maintain legal billings database; prepare monthly report of legal invoices processed for payment for review/approval by General Counsel.

  • Point of contact for Seattle Legal Department regarding intake, triage, and communication between and among Seattle Legal Team Members and employees/management in other departments, HA Group brand companies and Carnival companies.

  • Coordination of Legal Department new hire onboarding/transfer details (office space, computer, telephone, travel).

  • Administrative support including management of Seattle Legal Department mail, email, telephones, drafting outgoing (and managing incoming) correspondence, copying/filing/maintaining all Legal Department files and organizational charts, ordering and maintaining supplies, arranging for equipment maintenance, travel planning management (international & domestic), and support of Santa Clarita Legal Dept employees during their business trips to the Seattle office as needed.

  • Project management as assigned by Seattle Legal Department Team Members.

  • Maintain and circulate Legal Department contact lists.


  • B.A. or B.S. degree in any field;

  • Paralegal certificate/degree;

  • Minimum 2-4 years’ experience working with legal counsel in a corporate legal department or law firm

  • Strong written/verbal communication, organizational, analytical, and anticipatory skills;

  • Must be able to maintain strict confidentiality;

  • Must have strong computer skills (Word, Access, Excel, Outlook);

  • Must be able to successfully interact with all levels of management within the various entities of Holland America Group and the Carnival organization, including working with a wide range of personalities and temperaments;

  • Must be able to work independently in addition to demonstrating a “team player” commitment to the multi-city Legal Department;

  • Must be very organized with a strict attention to detail, as well as the ability to multi-task and prioritize effectively;

  • Must be able to manage multiple projects and administrative tasks on tight deadlines;

  • Must take initiative to learn about the subject areas of the business that relate to the tasks and projects being worked on, and must demonstrate a strong commitment to understanding the business backdrop of the cruise industry, and of HA Group/Carnival brand initiatives.
