We are currently seeking a Purchasing Administrative Assistant to join our team in Oak Brook, IL.

Responsibilities:

Receiving invoice queues daily, performing 3-way matching between 1) Invoice, 2) Purchase Order & 3) Receipt of materials/svc's according to letter designations and working directly with our Account Payable team, process invoices for vendor payments.

When necessary communicate with field personnel to request delivery receipt acknowledgement, service completion, job/vessel coding and approvals.

Enter data into invoice imaging system, OnBase. Check all invoice information for correctness and completeness.

Collaborate with GLDD buyers to correct purchase orders when necessary.

Communicate and collaborate with vendors to correct invoices when necessary.

Provide invoice payment status to callers.

Scan and electronically file invoices.

Obtain backup information from vendors when necessary.

Other administrative duties as may be assigned, such as covering corporate phone system.

Requirements:

Requires some familiarity with MS Office software

Prior purchasing experience would be a plus.

Excellent communication skills, open-minded and positive attitude required.

Minimum high school education required.
